Identify the function, not just the cabinet position
A compact appliance built above an oven may have its own model and functions. Use its own reference when available and describe the programme selected during the last normal use. Report a non-responsive control, a programme that stops and a programme that runs without the expected result separately. Do not test extra cooking modes to diagnose the component yourself.
Describe the door and surrounding installation
Tell the office if the door does not close normally, its glass is damaged or the appliance has sparked, smelled burnt or tripped the supply. Stop using it in those circumstances. Keep the casing and built-in trim attached, even when the label is hidden. Explain the mounting height and adjacent cabinetry so access can be considered before an appointment is agreed.

Copy the complete reference as printed, including any suffix. Use an accessible label or your appliance paperwork; leave built-in units, electrical covers and heavy appliances in place. If the label cannot be reached safely, explain this when you contact us.

A built-in microwave replacement must match the required aperture, support, ventilation and supply arrangements. Send the proposed model before assuming the old trim or cabinet will suit.

Should I remove the built-in surround for the engineer?
Leave the trim and appliance in place unless the office has specifically agreed preparation with you. Tell the team about any difficult access instead of attempting removal.
